AWARDS ENTRY TERMS AND CONDITIONS
Definite Article Media Limited (Organiser) a company registered in England and Wales under company number 10956503, and with its registered office at I 167-169 Great Portland Street, 5th Floor, London, W1W 5PF, United Kingdom, EC1A 2BN and VAT number GB 283326400;
Interpretation
“Entrant” means an individual, group, organisation, or business entity that submits an application, nomination, or entry to participate in a competition, contest, or awards programme (the Awards). The Entrant must meet the eligibility criteria specified by the Organiser and comply with all rules, terms, and conditions governing the Awards.
“Submission” refers to the act of providing, delivering, or uploading all necessary information, materials, and supporting documentation required to enter a competition or awards programme. This submission is made by an individual or entity (the “Entrant”) in accordance with the specified entry criteria, deadlines, and guidelines provided by the awards Organiser
“Judging Panel” refers to a group of individuals appointed by the organisers of an awards programme to evaluate and assess the entries submitted for consideration. The panel is typically composed of experts, professionals, or stakeholders with relevant knowledge, experience, or expertise in the field or industry related to the awards.
1. General conditions of entry
1.1. The awards (the “Awards”) are open to businesses which meet the criteria set out in the Awards Entry website and Terms and Conditions, Awards methodology and as specified for each category in the entry form. The Organiser of the Awards is Definite Article Media Limited, the Organiser.
1.2. By submitting an entry to the Awards, entrants are considered to have agreed to these Awards Entry Terms and Conditions.
1.3. Entries for the Awards will only be accepted through the official online entry form available on the Organiser’s website. Submissions must adhere to the criteria outlined in the entry form and clearly outline the objectives, achievements, and reasons why the company, project, campaign, or individual merits recognition.
1.4. Each entry must include the name of the project, campaign, or individual as it should appear on the shortlist, along with the name of the associated company.
1.5. Entries must primarily highlight achievements within the timeframe specified in the entry criteria.
1.6. Each entry must be unique. If submitting entries for multiple categories, each one must be specifically tailored to meet the criteria of the respective category.
1.7. Entrants are responsible for obtaining written consent from any nominated individual (if applicable) and from the owners of any supporting materials submitted. This includes, but is not limited to:
1.7.1. Written works such as articles, stories, journals, or software programs
1.7.2. Images and graphics
1.7.3. Plays and scripts
1.7.4. Audio-visual content, including films
1.7.5. Sound recordings
1.7.6. Presentations, such as PowerPoint files.
1.8. A panel of experts will review all entries to select a shortlist and a winner for each category and, where appropriate, provide commendations to runners-up. The judges’ decisions are final and not subject to appeal. Submissions will remain strictly confidential between the entrant and the Organiser until the Organiser announces or publishes the shortlists and/or winners in accordance with these Awards Entry Terms and Conditions.
1.9. Each category will have one winner who will receive the industry award presented by the Organiser. The award holds no monetary value, and no cash alternative will be offered. The number of winners in each category may be adjusted at the discretion of the chair of the judging panel and the Organiser.
1.10. For shortlisted companies that choose not to participate in the submission process, the Organiser will still announce the company as shortlisted. However, the Organiser will inform the judges that the company has not submitted, and the company will forfeit consideration for further judging.
1.11. If an entry is considered more suitable for a different category, the Organiser reserves the right to either move it to that category or disqualify it, at their discretion, without prior notification to the entrant.
1.12. The entry criteria specify the opening date, closing date, and the date of the awards ceremony.
1.13. Submissions received after the specified closing date and time will be disqualified.
1.14. Entries that are incomplete, illegible, or fail to meet the entry criteria may be disqualified at the discretion of the chair of the judging panel.
1.15. If a winner or shortlisted entrant declines their award, or if the entry is found to be invalid or in violation of these Terms and Conditions, the entry will be forfeited, and the Organiser reserves the right to select an alternative entrant for the shortlist or as the winner.
1.16. Entrants must provide all relevant information in their submissions. Entries that omit details which could have impacted the judges’ decision may be disqualified at the discretion of the chair of the judging panel.
1.17. Entries should be made in good faith by the entrant and entrants/submissions should not be subject to any legal ruling, either impending or actual, or government action that would bring the awards into disrepute. The chair of the judges reserves to right to disqualify entries that do not comply with these criteria and their decision will be final.
1.18. The Organiser accepts no responsibility for entries lost during the online submission process. Entrants are advised to retain a copy of their submission(s) for their own records.
1.19. Winners may be invited to participate in publicity activities related to the Awards, which could include the publication of their name and photograph across various media platforms.
1.20. Entrants will be notified via email if their entry has been shortlisted. The shortlist will also be published on the Organiser’s website after the closing date and prior to the Awards ceremony. Winners will be announced during the Awards ceremony and subsequently on the Organiser’s website and other media platforms. Shortlist and winner announcements for companies will include the company name and entry title. For individual entrants, the announcements will include the entrant’s name, entry title, and, where applicable, their company name and job title.
1.21. Attendance at all Awards ceremonies requires the purchase of a table, including for shortlisted entrants. The Organiser is not responsible for any costs incurred in connection with the Awards or the ceremonies. If your entry is selected as a winner and you are unable to attend the ceremony, you will be notified via email the following day.
1.22. The Organiser will not be held responsible for any failure to meet its obligations due to circumstances beyond its reasonable control. Such circumstances may include, but are not limited to, adverse weather conditions, fire, flood, natural disasters, strikes, industrial disputes, war, acts of hostility, political unrest, riots, civil disturbances, unavoidable accidents, changes in legislation, or any other events classified as force majeure.

1.24. The Organiser reserves the right to modify or discontinue the Awards or individual award categories, either temporarily or permanently, at any time and without prior notice, due to circumstances beyond its control (including, but not limited to, cases of anticipated, suspected, or actual fraud). All decisions made by the Organiser regarding matters within its control are final and binding, and no further correspondence will be entertained.
1.25. Employees of the Organiser, its affiliated companies, their immediate family members, and any individuals directly involved with the Awards (including, but not limited to, current judges and sponsors) are ineligible to enter.
1.26. Personal data will be processed in accordance with our privacy policy, which can be found at https://definitearticlemedia.com/privacy-policy/. Please also refer to condition 20 for details on the announcement of shortlists and winners.
2. Event venue
2.1. The Client shall comply with all requirements imposed on the Organiser or Clients by the owners, proprietors or managers of the Venue, or any municipal or other competent authority. In addition, the Client shall comply with any notice of such requirements given to the Client by the Organiser.
2.2. The Event Venue is reserved for the sole use of the Organiser on the day of the Event. Clients are prohibited from booking any space within the Event Venue on the Event day for alternative client meetings, internal events, or any other business purposes. Failure to comply with this restriction may result in the venue cancelling the Client’s unauthorised booking. If cancellation by the venue is not possible, the Client shall be liable to pay the Organiser a fee of £30,000, exclusive of VAT, for any unauthorised use of the venue.
3. Marketing material
3.1. The Client will not manufacture, distribute, issue, publish, circulate or otherwise make use of any marketing materials using the Organiser’s branding without the prior written approval of the Organiser. In the event that at any time any Client Materials fail to conform to any approved representative sample, artwork or other submission, the client shall forthwith, upon realising the error or else upon notice from the Organiser (and without prejudice to any other rights or remedies the Organiser may have in respect of the same), withdraw any and all such Client
3.2. Materials from circulation as soon as practicable.
3.3. The Organiser will provide the Client with marketing materials to promote and advertise the Event. The Client is granted a non-exclusive, royalty-free licence to use these materials solely for promotional purposes during the Term of this Agreement.
3.4. The Organiser’s logos, branding, and all associated materials are the exclusive property of the Organiser, protected as trademarks and intellectual property. The Client may not use these logos or branding materials without the prior written permission of the Organiser
4. Anti-Bribery
4.1. The Client shall:
4.1.1. comply with all applicable laws, regulations, codes and sanctions relating to anti-bribery and anti-corruption including but not limited to the Bribery Act 2010 (“Relevant Requirements”);
4.1.2. not engage in any activity, practice or conduct which would constitute an offence under sections 1, 2 or 6 of the Bribery Act 2010 if such activity, practice or conduct had been carried out in the UK;
4.1.3. comply with the Organiser’s anti-bribery and anti-corruption policies (available to the Client on request) and the Organiser may update them from time to time (“Relevant Policies”);
4.1.4. promptly report to the Organiser any request or demand for any undue financial or other advantage of any kind received by the Client in connection with the performance of this Agreement;
4.1.5. ensure that all persons associated with the Client or other persons who are performing services in connection with this Agreement comply with this clause 12.1; and
4.1.6. within 2 months of the date of this Agreement, and annually thereafter, certify to the Organiser in writing, its compliance with this clause 12.1. The Client shall provide such supporting evidence of compliance as the Organiser may reasonably request.
4.1.7. Failure to comply with clause 12.1 may result in the immediate termination of this Agreement.
5. Governing law
5.1. This Agreement and any dispute or claim arising out of or in connection with it or its subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the English law.
6. Jurisdiction
7. Each Party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with this agreement or its subject matter or formation (including non-contractual disputes or claims).
